Georgetown University Qatar UAE Jobs Careers Description/Overview

Georgetown University in Qatar (GU-Q) is seeking a highly organized and detail-oriented professional with a passion for event planning and coordination to join our team in a temporary position as Conference Coordinator. This is an exciting opportunity to play a key role in planning and executing conferences at GU-Q for the 2023 fall semester.

Note: As this vacancy is based in Doha and offers no relocation assistance, GU-Q is looking only for locally-based candidates who have a valid Qatar residence permit. The position is temporary, full-time, with an anticipated start date in the summer of 2023.

Key Accountabilities

Support the planning and execution of several large academic conferences with estimated audience of 150+.
Work closely with event owners and Conference Manager to ensure all event requirements are met, providing regular updates as required.
Key Activities

Contribute to venue identification based on client needs for conference space, hotel accommodation for delegates and participants, and catering for conference activities and other special events happening alongside the conferences.
Support the development of print, digital, and social media marketing and publicity (local, regional, and international) for conferences including logos and branding, posters, banners and other promotional materials, press releases and media/press events during the conference.
Contribute to the development of conference activities, including panels and cultural events.
Support event owners and Conference Manager with managing speaker invitations and responses.
Support identifying and working with Arabic-speaking panelists and invitees, as required.
Assist in drafting, and proof-reading Arabic conference materials and advertising, as required.
Create and maintain conference registration webpages, participant registration list, and conference app for use in addition to/in lieu of printed programs.
In collaboration with the Travel Office, coordinate travel, visas, accommodation, and local transport for conference speakers and sponsored guests (approximately 50+ sponsored travelers per conference).
Coordinate speaker management, including collecting speaker bios, headshots, presentations/speeches, etc.
Prepare conference materials such as name badges, directional signage, etc.
Coordinate the venue on-site during the conference, including registration, catering, room set-up, translators, media/press attendees, photographers and videographers, etc.
Support speaker and VIP management on-site during the conference, including for press interviews and other photo/video opportunities.
Evening and weekend work may be required.
Other similar duties, as assigned.
Qualifications

Bachelor’s degree preferred.
3+ years of relevant experience, preferably providing events management or administrative support.
Strong organizational skills.
Ability to work under pressure and meet deadlines.
Excellent communication skills.
Proven ability to take initiative and work proactively with great attention to detail.
Strong computer skills.
Excellent command of English, both verbally and in writing.
Proficiency in Arabic is preferred.
