amfAR, The Foundation for AIDS Research, is seeking a Coordinator, Finance & Administration.

amfAR is dedicated to ending the global AIDS epidemic through innovative research. With the freedom and flexibility to respond quickly to emerging areas of scientific promise, amfAR plays a catalytic role in accelerating the pace of HIV/AIDS research and achieving real breakthroughs. amfAR funded research has increased our understanding of HIV and has helped lay the groundwork for major advances in the study and treatment of HIV/AIDS. Since 1985, amfAR has invested close to $600 million in its programs and has awarded grants to more than 3,500 research teams worldwide.

PRIMARY FUNCTIONS:

Provides general administrative, project management, writing and clerical assistance to the Chief Financial officer and supporting departments as directed by CFO.

DUTIES and RESPONSIBILITIES:

Assists in the preparation of materials for meetings of the Finance & Budget Committee, Executive Committee Compensation Committee and the Board of Directors and coordinates materials distribution.

Coordinates the receipt, completion and distribution of forms, reports and filings relating to regulatory compliance, legal disputes, banking, facilities, industry surveys, insurance, tax and audit matters.

Coordinates and routes workflow into and from the office of the CFO, ensuring prompt and accurate dissemination of work.

Maintains files for the CFO.  Ensures all files and records are up to date and in compliance.

Develops and prepares correspondence and memoranda.

Prepares and maintains schedules of appointments, meetings, and business travel for Chief Financial Officer

Work with CFO’s team to update and maintain various policies 7 procedures manuals.

Coordinates and completes special projects for the CFO as directed.

Coordinate and route purchase orders/payment requests, expense reports and contracts for signatures and processing.  Prepare CFO’s expense reports.

Serve as back-up to travel coordinator and will handle travel arrangements as needed when directed by CFO.

Provides back up to front desk and facilities manager as needed for vacations and breaks as directed by CFO.

Provides administrative support/oversight of the New York State AIDS Department of Health AIDS Institute (AI) Harm Reduction and other contracts;

QUALIFICATIONS:

Two years of college or equivalent experience with three years of general office experience. (Bachelor’s degree preferred.) Excellent written and verbal communication skills, interpersonal and organizational skills required. Proficiency with Excel, and Word required.
