POSITION SUMMARY

Responsibilities and duties include providing administration support to all staff to ensure efficient operation of their duties.  An Office Administrator supports the office staff through a variety of tasks related to organization, communication, and effective administration of ministry responsibilities.  They are responsible for confidential and time sensitive material.  They will need to exhibit an ability to effectively communicate via phone and email ensuring that all Office Administration duties are completed accurately and delivered with high quality and in a timely manner.  May direct and lead the work of others.  They must rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.  Most importantly, Office Administrators should have a genuine desire to meet the needs of others.

QUALIFICATIONS

  • Proven administrative or assistant experience
  • Excellent time management skills and ability to multi-task and prioritize work

JOB RESPONSIBILITIES AND DUTIES

  • Front Door and Hosting Guests: The Office Administrator will oversee the front door for visitors, packages, etc, while also being ready to host a guest who is meeting with any of our pastors.
  • Phones and Email: Handling the Metro Life Church phone and info@metrolifechurch.com email, receiving and dispersing of messages to the appropriate party.
  • Baptisms & Orientations: Scheduling and communicating with those leading the orientation and those being baptized. Making links available for signups and website and communicating that. Making sure supplies are good with shirts and towels. Printing pamphlets and sign-up sheets for day of as well as certificates.
  • Baby Dedications: Scheduling and communicating with parents. Making links for signups. Ordering bibles, bags and paper. Printing all certificates. etc
  • Communion: scheduling and communicating with Service Coordinator and ushers for all communion needs. Ordering supplies to ensure campus has more than enough communion elements.
  • Calendar: keeping church calendar for staff on Outlook. Keeping church calendar for volunteers on Google calendar.
  • Breeze: keeping up with Pending Corrections, Unassigned, duplicates, reports, attendance, visitor cards online and physical.
    • Welcome emails
    • Assigning follow-ups
    • Mail Outs
  • Office: Mail, voicemails, supplies, staff meeting minutes, maintaining copy and office areas organized and clean.
    • Ministry supplies: ways to give, connect cards, pens, tithes envelopes
  • Specials:
    • Appreciations, birthdays, etc. Cards and such

ADDITIONAL RESPONSIBILITIES

  • Carry out administrative duties such as filing, typing, copying, binding, scanning, printing etc. as needed.
  • Write letters and emails on behalf of Pastors or staff members
  • Making travel arrangements, such a booking flights, cars and making hotel and restaurant reservations.
  • Organize and schedule meetings and appointments.
  • Take detailed notes of all staff and scheduled meetings.
  • Ensure all church family information is updated consistently in our administration platforms (Breeze) such as contact information, addresses, etc.
  • Admission and oversight of weekly attendance numbers
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Oversee the office front desk duties such as answering phones, emails, receiving packages, etc.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Ensure all office materials are fully stocked and sufficient such as pens, notebooks, printer paper, paper clips, coffee, breakfast snacks, items for the pastoral bathroom, water bottles, protein bars and shakes.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Making coffee for Pastors as needed and maintaining a clean area.
  • Submit and follow-up with purchase order related to office administration needs
  • Provide general support to all office staff
