Marketing Assistant, GEM

The position is based in Dubai, UAE and will report directly to the Marketing Manager, GEM providing support to help ensure smooth execution of the GEM Marketing activities day to day activities including office based and online administrative support as well as manage the operational processes are optimized to enable business activities.

Your Responsibilities will be :

Fully accountable to manage the logistic & administrative part of marketing activities & campaigns including but not limited to;
Dealing with vendors proactively; Quotations, POs & delivery time follow up as per Marketing calendar. Facilitate & fasten the internal approval process for all marketing activities. Managing bookings for marketing related internal & external activities. Book-keeping for all documents related to marketing activities approvals. Manage shipments of marketing related materials to the team as per the plan.

Submitting speaker agreement for approval – Review and secure signatures of agreements through Docusign and liaise with the Field Force team when even is completed.
Managing events including but not limited to;
Sourcing all the info per Events and search/coordinate with organizer;
Coordinate with the MSL for complete confirmed list of participants/HCPs;
Secure signatures of HCPs/participants (Letter of invitations or agreements);
Arrange logistics of event participants per ABAC policy;
Collating presentation / newsletter – All events, CDDs, HCPs slides;
Coordinating with the sales rep for any admin requests.
Negotiating/Coordinating with the vendor for all the Marketing collateral/Events.
Work closely with MSL & Marketing team for arranging all the Marketing/Sales events accordingly.
Open/Close PO accordingly or raising a Non-PO Form if required
Collaborate with managers in preparing budgets and monitoring expenses
Submitting/clearing all the invoices per Events/Project per vendor
Consolidate monthly expenses and coordinate with finance for cash requirement planning
Coordinating with MICE company on events within the GEM countries (HCP dinners and events)
Your Profile :

Strong written and verbal communication skills. Highly organized and efficient.
Fluent in spoken and written English. Knowledge of Arabic would be advantageous
Proficient in Microsoft Outlook and Microsoft Teams.
Extensive administrative experience in a fast-paced, multi-task business environment utilizing administrative skills (e.g. Purchase Orders, calendaring, Microsoft applications, T&E, e-conferencing/meetings).
Demonstrated ability to analyze and solve complex problems using excellent judgment, supporting, partnering, and influencing a range of culturally diverse people.
