For more information, visit Worley.comPRIMARY OBJECTIVESSupervise all maintenance and internal moves within the existing Worley property portfolio ensuring that the business needs and service targets are met and internal client expectations are exceeded.KEY ACCOUNTABILITIES OF POSITION:a. FACILITIES SUPERVISOR· Liaise with project managers and secretaries at each location on an ongoing basis to ensure that all building maintenance issues are being reported and resolved in a timely manner. · Control and report on monthly facilities and supplier expenditure. · Ensure all invoices have an applicable purchase order, are signed off by the Facilities Manager and are submitted timeously to Accounts Payable. · Collate monthly orders for PPE, stationary, catering, etc. spend totals. · Identify any facilities issues highlighted requiring further investigation. Develop and / or manage the expenditure of maintenance projects within budget. · Manage effective coordination of all office moves to minimize down time for each project. · Ensure all groups involved are informed and communicated with throughout the entire process. Conduct a “lessons learnt” review with the Facilities Manager after each move to insure continuous improvement. · Liaise with all Project Secretaries and site contacts to ensure that floor plans are updated. · Create strong working relationships with all building facility management teams to ensure Worley service expectations are being met and managed. · Assist in the development and implementation of strategies for ensuring all floors are safely · maintained in the most cost-efficient manner. Review the current portfolio and provide recommendations to Facilities Manager on how to improve the maintenance service level agreements within agreed budgets. · Establish an effective system to monitor furniture stock levels in storage to ensure all floors are · adequately provisioned prior to purchasing new stock. · Investigate and implement processes to manage building assets with the location. · Review all contractor HSE policies to ensure they have identified all potential risks on site and · provisioned safe systems of work. · Work with the Facilities Manager to manage the staffing forecasts against available space. · Provide appropriate planning solutions to senior management for future office requirements / moves. · Work with the R3 coordinator and Business Services Manager to ensure all location emergency procedures are current. Identify any possible security issues and provide recommendations for improvement. · Liaise with the location HSE team to ensure all building inductions; emergency procedures; fire warden and first aider requirements are in place. · Conduct weekly / monthly meetings with ICT to ensure that they are fully aware of all developments within the business. · Assist with coordination of telephones; communications; photocopiers across location etc. · Work with the Facilities Manager to develop a business plan for reducing the energy consumption throughout the location. · Identify current consumption levels and outline how the business can comply with legislation and improve energy efficiency across the location and at what cost. · Work with HSE to ensure to INGERS energy consumption data capturing. · Update and manage the “Lease Management System” What we are looking for: |
